Countdown to paperless purchasing

April 4 marks the deadline for the hospital's purchasing system to go entirely paperless with the new eBuy online requisitioning system. So far, the 1,100 MGHers who have been granted system access are averaging more than 1,600 requisitions weekly through the PeopleSoft E-Procurement system. "We are very pleased with the early results of the eBuy rollout at the MGH," says Ed Raeke, director of MGH Materials Management. "While there have been some anticipated growing pains associated with a new system learning curve, the feedback has been largely positive. Every week we have seen a growth in both the number of users and requisitions, which is a good sign that we are rapidly moving toward our goal of becoming paperless by April 4."

Classroom training sessions and web-based training on the eBuy system continue to be available. Below is the process for getting access to the eBuy system.

1) Complete a requestor login form located at: http://intranet.partners.org/MM/ebuy_login_form.pdf.

2) Then, sign up for a classroom session at:
http://intranet.partners.org/MM/ebuy_mgh_training.asp.
MGHers also have the option of completing the web-based training by visiting: http://intranet.partners.org/MM/ebuy_wbt.asp.

Once both of the forms have been filled out and submitted and training — either classroom or web-based — has been completed, access to the system will be granted within 48 hours. Access will be confirmed via e-mail. Users then can log onto PeopleSoft and select "PeopleSoft FIN Production" under "available resources." If access is still denied after 48 hours, send e-mail to ebuy@partners.org. A support team will be onsite to address problems and issues through April 1.
